Job Description: Executive Administrator
Responsibilities
1. Maintain custody of all corporate funds and securities and shall keep in records belonging
to the corporation full and accurate accounts of all receipts and disbursements.
2. Deposit all monies, securities, and other valuable effects in the name of the corporation in such depositories as may be designated for that purpose by the Board of Directors.
3. Disburse the funds of the corporation as may be ordered by the Board, taking proper vouchers for such disbursements, and shall render to the president and directors at the regular meetings of the Board and whenever requested by them, an account for all his/her transactions and the financial conditions of the corporation.
4. Produce an annual budget for the board and obtain an annual audit report to be delivered at the February/March board meeting.
5. Shall name the treasurer as an additional signer on the corporate accounts for purposes of accountability.
6. Enter into contracts on behalf of the organization with hotel facilities, transportation companies, equipment companies, and any other such company necessary for the operation of the organization.
7. Process membership renewals, maintain the membership database, and manage communications with the membership.
8. Manage the website, including on-line payments, updating of pages, and any correspondence related to “contact SPCM” functions. Collaborate with the website designer as necessary.
9. Support the editor of the Christian Education Journal as necessary.
10. Organize the October and February/March board meetings with the president of the organization.
11. Works with the Conference Coordinator and the AYME administrator to secure hotel venues for the annual conferences that meet the priorities of the organizations by attending the RCMA hotel trade show, visiting potential properties, negotiating contracts with properties, and working with hotel staff to ensure an excellent conference experience.
12. Recruit exhibitors and sponsors for the annual conference.
13. Maintain the conference registration database.
14. Produce and mail the annual conference postcard in April and August.
15. Produce the annual conference program to be posted online.
16. Produce name badges for conference attendees.
17. Purchase conference give-away items in consultation with the president.
